A project update should tell the reader whether work is moving as expected and whether they need to act. It is not a diary of everything the team did. Organize it around outcomes, changes, and decisions.

Lead with the actual status

State whether the current plan is on track, at risk, or changed, and explain why in one sentence. Use those labels consistently within your team. “On track” should not hide a problem simply because the final deadline has not arrived yet. Then distinguish completed work from work in progress. “Drafted the registration page” is different from “Published the registration page.” Specific verbs prevent readers from assuming a deliverable is ready when it is still under review.

Describe risks without dramatizing them

A risk is something that may affect the plan; an issue is something already happening. For either, explain the effect and the proposed response. “Supplier problem” gives little guidance. “The room booking is unconfirmed; we are holding a backup venue until Thursday” makes the situation understandable. Do not assign blame in a routine update. Name the owner of the next action, not the person you want readers to criticize. Raise personnel concerns through an appropriate separate process.

End with ownership

Every request should have a recipient and a date, even if the recipient is a group expected to nominate an owner. If no action is needed, say so. Keep detailed working notes in a linked document and use the email to show what has changed since the previous update.
